A few handy tips & tricks

How do I create a new customer or supplier?

Attention: By default, two relationships have already been created, namely "ME" and "Cash Register". Do not delete or modify these! 

Creating a new customer or supplier starts at "Relationships" > "Customers/Suppliers". There you click on "Add Relationship".

Do you have the VAT number/business number of your relationship at hand? Enter this number first and then click on "search". If the business number is active, Onlinefact automatically fills in a lot of company details for you.

It's up to you whether you enter a recognizable and unique reference for your relationship yourself (e.g., BVBADATACON) or leave the field empty. In the latter case, Onlinefact generates a unique reference itself. You use this reference later to quickly select the right company when searching or creating documents.

  1. Indicate whether you want to create a file for a customer, supplier or both.
  2. In which language do you want the layout of new documents for your foreign customer/supplier?
  3. Do you want to use a specific template (type of document) as standard for this relationship? Onlinefact will now choose this as the main template when creating new documents as soon as you select this customer or supplier.
  4. Fill in what the standard expiration date is for this specific relationship (e.g. "14").
  5. Enter a standard discount for regular customers, businesses, family members, friends, ... here. Choose the percentage that is immediately deducted with each purchase.
  6. Do you want the cash register system to immediately send the invoice to the customer when you have created an invoice via the cash register?
  7. What is the standard VAT rate for this customer/supplier? 0%, 6%, 12%, 21%, 0% VAT shifted or 0% intra-community? This VAT rate is automatically applied to new documents later, so you don't have to adjust it manually on each line (but you can).
  8. Do you link this relationship to a unique barcode, for example that of the customer card? Scanning the barcode (e.g. at the cash register) is enough for Onlinefact to immediately open the correct customer file without you having to search for it.

Add some more details such as phone number, email address or internal notes.

Don't forget to click "save".
