POS system for paint shops

For the decorator in a hurry and the customer still unsure about the colour.

A till for your paint shop, for the decorator who drops by every morning and the homeowner hunting for the right shade

With the Onlinefact POS system you sell paint in every tin size as its own variant, give decorators their own prices and invoices, and find a regular customer’s colour code in his customer record.

A paint shop has two kinds of customer. The professional decorator arrives early, knows exactly what he needs and wants an invoice in his company’s name. The homeowner takes his time, leafs through the colour charts and asks which roller to use. Onlinefact helps you with both. The till runs on a Windows touchscreen or computer at your counter, and you manage quotes, invoices and reports in the browser. Try it free for 30 days.

Colour advice without losing the colour code

After a lot of hesitation, a customer picks a shade from the colour chart. You mix the paint, scan the tin in the right size and link the customer to the sale. The colour code goes into the notes of his customer record, so you can find it again when he needs one more tin for the same wall a year later. The sales-per-customer report also shows you what he bought before.

  • Colour code in the customer record notes
  • Sales per customer at hand
  • Tin scanned in the right size

Decorators with their own prices and their own invoice

A decorating firm buys more, and more often, than a homeowner and expects a price to match. In the customer record you give each decorator a price level or a fixed discount, which the till applies automatically as soon as you link him to the sale. You look up the VAT number at the till, the invoice can go to his inbox automatically, and anyone who prefers Peppol receives it that way.

  • Price level or fixed discount per decorator
  • VAT number looked up at the till
  • Invoice sent to his inbox automatically

A Monday morning at your counter

Before most shops have even opened, the first decorators are already inside. This is how that rush goes with Onlinefact.

  1. The first vans pull up
A decorator picks up primer, masking tape and a box of rollers. You link his firm to the sale, his prices are right straight away and the invoice goes out by email.
  2. A colour from last year
A customer wants the same shade as in his living room. You open his customer record and find the colour code in the notes.
  3. A big renovation
A contractor asks for a price on paint for an entire flat. You draw up a quote and, once he agrees, turn it into an order.
  4. Advice for a homeowner
A couple cannot choose between two colours and leaves with brushes and a paint tray as well. They pay with Bancontact Pay.
  5. Early afternoon
The ‘To order’ report shows which size of your best-selling wall paint is nearly gone, and you place the order with your supplier.

Paint, tinting charges and accessories in Onlinefact

A paint shop sells by the tin, by the box and sometimes to order. This is how you set it up.

A custom-mixed colourThe base tin in the right size, with an open-price button for the tinting charge if you like

Shelves full of tins, counted by size

The same wall paint sits on your shelf in small and large tins, and the large ones often go faster than you would expect. Because each size is a variant, Onlinefact counts stock tin by tin. With a minimum stock per variant, the ‘To order’ report shows what needs restocking, and at inventory time you correct the count in an inventory document.

  • Stock counted per tin size
  • To-order list per variant
  • Inventory document for the count

More about stock management

“A decorator who stops by in the morning wants to be on site as soon as possible.”

With his prices already in the till and an invoice that sends itself, he is out of the door before the next customer’s coffee has gone cold.

Rollers, brushes and paying at the counter

Accessories such as rollers, brushes and paint trays are scanned or placed on screen as photo buttons. When a decorator takes a whole box, you scan the multipack barcode and the right number comes off stock. The total goes straight to the linked payment terminal, or your customer pays with Bancontact Pay using a QR code that holds the amount.

  • Multipack barcode for a box of rollers
  • Accessories as photo buttons
  • Bancontact Pay QR code holding the total

Questions from paint shops

Can decorators buy from me on account?

Yes. You give the customer a standard payment term, Onlinefact sends payment reminders digitally and the bank link recognises payments by their structured reference.

Can I see which colours and brands sell best?

Your reports show sales and margin per product. If you give each product a brand, the sell-through per brand report also shows which brand is doing best.

I also sell through a webshop. Does that work together?

Onlinefact links up with webshops on Shopify, WooCommerce and Magento, so you manage online orders alongside your shop sales in Onlinefact.

Can I print barcode labels for my shelves?

Yes, with a Brother or Bixolon label printer you print labels with barcode and price, per product or for a whole selection at once.
