POS system for opticians

From quote and work order to invoice, with your frames neatly in stock.

A till for your optician's practice that follows every pair, from quote to collection

With the Onlinefact POS system you draw up a quote for a new pair of glasses, follow up repairs with a digital work order and sell frames, sunglasses and care products at your counter.

An optician combines advice, craftsmanship and retail. A customer chooses a frame, the lenses are ordered and some time later he comes back to collect his glasses; in the meantime someone brings in a pair with a loose screw. Onlinefact runs on a Windows touchscreen or computer at your counter; quotes, work orders, stock and invoices are managed in the browser. Onlinefact is not measurement software, but it takes care of sales, follow-up and admin. Try it free for 30 days.

Taking payment at the counter, larger amounts included

A new pair with prescription lenses is a significant expense for many customers. The amount goes straight from the till to your payment terminal, so you never retype anything. Onlinefact works with terminals by CCV, Worldline, Axepta and SumUp, among others, which you buy or rent from us, and with Bancontact Pay. You note a deposit on the work order, so at collection you know what is still outstanding.

  • No retyping on the terminal
  • Bancontact Pay for smartphone users
  • Deposit visible on the work order

Frames by brand, model and colour

Your walls hold hundreds of frames, often the same model in different colours or sizes. With product options you manage them as variants with their own barcode and stock, and from the back office you print small price labels. You organise your collection by brand and category, and the report on sales per brand shows which collections sell and which you had better not buy again.

  • Variants per frame colour and size
  • Sales per brand in one report
  • Small barcode price labels

More about stock management

“You don't sell a pair of glasses in five minutes, but the follow-up can be that fast.”

Quote, order, work order and invoice are linked in Onlinefact, so nobody in your team has to search for where a pair of glasses stands.

From quote to collection

After the consultation you draw up a quote with the chosen frame and lenses. Does the customer agree? Turn the quote into an order in one click and order the lenses from your supplier. On delivery you enter the quantities received, and when the customer collects his glasses you create the invoice. You send it by email or via Peppol, and if the customer pays by bank transfer, the bank link matches that payment to the right invoice automatically.

  • A quote becomes an order in one click
  • Lenses ordered from your supplier
  • Bank transfers matched automatically

Repairs and adjustments on a digital work order

A broken hinge, a new nose pad or lenses to fit into an existing frame: for every job you create a digital work order. You note what needs doing and which materials you use, take a photo of the glasses when they are handed in and have the customer sign digitally. You assign the job to a colleague, a colour status shows what is ready, and you email the customer when his glasses are ready. Afterwards you turn the work order into an invoice.

  • Photos and signature at hand-in
  • Colour status per job
  • From work order to invoice

Frequently asked questions from opticians

Can I keep eye measurements and prescriptions in Onlinefact?

No, Onlinefact is POS and invoicing software, not a measurement program. You keep measurements and prescriptions the way you do today; sales, work orders, stock and invoices are handled in Onlinefact.

Can I ask for a deposit for a repair or a new pair?

Yes. The digital work order records deposits, and once the job is done you turn the work order into an invoice.

Can several colleagues work with Onlinefact?

Yes. At the till everyone logs in with their own PIN code, and in the back office you give users a role, such as sales assistant or accountant.

How does my accountant get my invoices?

Onlinefact emails your sales and purchase invoices to your accountant automatically every day, as PDF or UBL. An export for a specific accounting package is also possible.
